Accountability - Accounting/Owner Reports
We have designed a reporting system that provides a complete and understandable picture of each HOA and its individual home owners on a monthly basis. These reports furnish you with all of the data and records you need to monitor and evaluate your association and its financial condition. Included with the monthly summary reports is a copy of each invoice paid, the purchase order and approved check voucher, a copy of the actual check, and a copy of the bank reconciliation. This organized and complete back up keeps you better informed, helps answer most questions, and prepares you for an outside audit, should one be necessary.
All produced reports are carefully analyzed by Pyramis senior property management staff, allowing us to spot and quickly respond to trends occurring on properties. The timely, accurate, and detailed information on physical and economic activity, provided by our accounting/reporting system is invaluable in managing and controlling costs.
To promote a smooth transfer to Pyramis system, and to allow you to fully benefit from our extensive monthly reporting system, a senior staff team will deliver and review the first several monthly reports with you, if desired. This will allow you the opportunity to ask any questions concerning the reports and allow us to fine tune the reports to fit your needs. Naturally, throughout our relationship, management will always be available to you to answer any questions or provide additional information.
Training Programs
As part of our continuing effort to improve the skills of our management personnel and to provide better service to you, the owner, Pyramis has developed a unique training program. This allows us to reach goals that are unattainable by unskilled and untrained people. Our training program is designed to teach the general skills of management, the particular needs of the management personnel, and the peculiarities of the specific community, assuring that all on site personnel are performing to the best of their ability. The program is based on proven teaching techniques and years of experience.
History Of Success
Pyramis Companies, Inc. active Homeowners Association (HOA) staff handles the broad range of administrative duties involved in managing an Owner s Association. Specifically, the HOA staff serves the associations by monitoring the compliance to Declarations and By Laws of the Association, supervising and controlling maintenance of the common elements, collecting owner assessments, assisting the Board in preparing budgets, and serving as a liaison between the Board of Directors and the rest of the owners. Our management team attends HOA meetings.

Financial Administration
- Assist with preparation and administer the budget.
- Collect common expense payments and any special assessments levied by the Board of Directors.
- Keep accurate books of accounting and provide monthly financial reports comparing budget with the actual expenditures, income and commitments.
- Provide annual or semiannual reports to owners as required by the condominium declaration and by-laws.
- Oversee electric billing procedures (where applicable).
Rules And Regulations
- Fully understand and administer the provisions contained in the condominium documents as they relate to the management functions.
- Enforce the rules, (community rules, swimming pool rules, tennis court rules, clubhouse rules, etc.)
- Recommend to the Board of Directors additional rules that need to be adopted as well as amendments to current rules that may not be realistic.
- Work on owner-to-owner relations regarding problems with noise, odors, use of common areas, appearance of individual units, children, pets, etc.
Complaints And Communications
- Provide means of communication between owners and management.
- Maintain a log of all complaints, problems, etc. and insure expedient handling of all complaints or problems.
- Have management personnel available to handle emergencies.
- Distribute information bulletins periodically or as required.

- To hire, train, supervise and discharge as needed on site manager.
- Secure trained and courteous workmen to assist in management duties.
- Schedule and supervise all work.
- Provide the necessary fidelity bonds and insurance.
- Other Functions
- Implement all reasonable means of reducing water, sewer, electricity, and other costs.
- Make efficient use of quantity purchasing of all supplies and materials.
- Work directly with the President or designated Board Member.
- Assist in negotiation of all taxes levied on the condominium (on individual owners or collectively) with proper taxing authority.
- Meet with the Board of Directors (during normal business hours) in all regular or special meetings.
- Meet with any or all owners at regularly scheduled meetings.
- Make necessary preparations for such meetings and keep proper records.
- Assure proper casualty insurance coverage and handle insurance claims.
